Provider disclosure and publication standards

Share what helps. Know why we ask.

Your business page should feel welcoming and give families dependable information. Here is how we separate essential facts, optional details and duties that apply to a particular provider.

Why we ask

Every requested detail has a reason.

A stronger listing helps a family understand your care setting before starting a conversation. We distinguish our publication requirements from useful optional details and from a legal duty that applies to your particular business.

BCM publication requirement

Needed to publish a reliable claim

We need authority to manage the listing, a reliable public contact, accurate business and license facts, confirmation of advertised services, a route to cost information and your authorization to publish your supplied business facts and selected gallery photos.

Why: families need to know which business they are viewing, how to reach it and whether the statements on the page are supported.

Recommended for a useful match

Helpful when you choose to share

Routines, meals, activities, languages, access features, care preferences, family communication and dated openings can help families decide what to ask next. You may add these gradually.

Why: these details can connect a family’s stated needs with your actual services. An unanswered optional question stays unconfirmed.

Applicable legal requirement

Specific to the rule and provider

A legal request depends on the state, exact license or provider category, program participation, the information, the intended recipient and when it must be supplied.

Why: a notice owed to a resident or regulator is not automatically information that must appear in a public directory.

Start with what is already known

Your Basic listing comes first.

We use existing Basic business information as the starting record. You should not have to re-enter the same name, location, state, license or public contact unless it is missing, outdated or needs confirmation. Proposed corrections are reviewed separately from your Enhanced additions.

If a licensing category does not apply to your service, explain the category you operate under. We do not invent a license requirement because another type of provider needs one. Authority to edit the profile and the truth of public claims still need confirmation.

The 102-topic coverage map stays behind the guided sections. It is a completeness reference, not 102 mandatory questions. A single document or broad answer does not automatically answer every topic or establish facts that it never states.

State, license and program

Legal requirements need the right scope.

Before labeling information “legally required,” the review needs the current official source, the covered provider, the jurisdiction, the recipient, the timing and whether public display is actually required. If the rule does not apply, the field is not enforced as a legal duty.

Some federal requirements attach to particular programs or covered entities. For example, 42 CFR 483.10 addresses resident rights and information for facilities within its program scope. It is not a universal public-directory questionnaire for every care business.

Privacy obligations also depend on the actual role and information involved. HHS explains the scope of HIPAA covered entities and business associates. Completing a listing is not a legal-compliance certification.

If a question needs legal interpretation, we will review it for the relevant state, provider category and program before presenting it as a requirement. We will explain the source and why it applies to your listing.

Your public business page

Know what you are agreeing to share.

InformationPublication treatment
Approved introduction, business contact and facility photosPublic after payment and your content authorization. Only $299 Complete Setup includes profile creation and personal review by Sophi Garcia; that review occurs within 24 hours of upload submission.
Current license and official-record linksPublic facts can be shown with their source and check date where appropriate. A source check does not certify overall care quality.
Services, staffing arrangements, access features and payment participationPublish only explicit, confirmed facts with relevant limits. Avoid assumptions from a photo, logo, license category or general phrase.
Costs and openingsPublish the provider-approved price details or a route to an itemized quote. Date current-opening claims; use “ask about availability” when an opening is unconfirmed.
Source documents and license photosUsed privately for profile preparation; not automatically published as gallery images. Only relevant business facts authorized for publication are extracted.
Resident details, private personnel files and payment credentialsDo not submit through the listing workflow. These do not belong in a public provider profile.

You can decline an optional detail. You cannot use that choice to make an advertised claim misleading or omit information that applicable law requires in that setting. If a claim cannot be substantiated, we work with you to correct it or leave that claim off the page.

Fair care-fit information

An introduction, followed by a real conversation.

Describe what your team can provide, who provides it, relevant limits and how you assess individual needs. Do not use the profile to request unlawful exclusions based on protected characteristics. Accommodation questions should be assessed through a lawful, individual process.

A paid Enhanced profile is identified as paid. It does not buy a higher care-fit recommendation. Optional blanks are not treated as a poor care-quality score. Any separate sponsored promotion must be clearly disclosed, consistent with FTC guidance on advertising disclosures.

A directory listing and a personalized placement referral have different duties. For covered Washington referrals, RCW 18.330.070 requires specified provider information and licensing-enforcement checks. A provider’s uploaded license does not replace BCM’s applicable referral obligations.

Keep the page useful

Tell us when something changes.

Send changes or concerns to welcome@BestCareMatch.com with the listing link and the fact that needs attention. Distinguish the date you confirmed a business fact from the date an official source was checked. Avoid including resident information when reporting an error.

We review disputed public claims and explain the next step. A provider may correct or add optional information over time. No page promises guaranteed admissions, occupancy, referrals or search ranking.

We are here to help

A clear next step, whenever you are ready.
